What is the difference between a User Role and a Permission Set?

A User Role defines high-level functional capabilities and primary interface access. A Permission Set acts as a granular add-on, granting specific extra abilities without changing the core role. This allows for flexible access management, such as giving a specific Steward the power to export data or manage lookup tables.

What are permission sets in Veeva Network MDM?

Collections of specific permissions that can be assigned to user profiles to grant them access to certain functionalities.

Can a user have multiple permission sets?

The documentation would specify if multiple permission sets can be combined for a single user.

Data visibility profiles

What is a Data Visibility Profile (DVP) and why is it used?

A Data Visibility Profile (DVP) defines the specific scope of records and fields a user can view, edit, or search. Primarily assigned by country, DVPs ensure users only access relevant data (e.g., French users only see French records) and provide field-level security to hide sensitive information from unauthorized groups.

Can I assign multiple Data Visibility Profiles to a single user?

Yes. If a user manages data across multiple regions or business units, you can assign them multiple DVPs. Network MDM combines the permissions from these profiles, allowing the user to view and interact with the data defined in each one. For instance, a Regional Manager might have both the US DVP and Canada DVP assigned.

How can I ensure a user only sees "Valid" records and not "Candidate" records?

This is controlled within the Data Visibility Profile (DVP). In the DVP configuration, you can specify exactly which Record States are visible to a user. By excluding states like "Candidate" or "Deleted" from the profile, you ensure standard business users only interact with verified data.

What happens if a user is not assigned to any Data Visibility Profile?

If a user has no DVP assigned, they will generally be unable to see or search for any data in the system. Even with a functional role like Standard User, a DVP is mandatory because it provides the necessary "lens" to view the Network MDM database.

Inbox and task management

What are Inbox task groups?

Groups of users who are assigned to manage specific types of tasks within the Network MDM Inbox, like data change requests.

How do Inbox Task Groups determine what a user sees in their Inbox?

Inbox Task Groups route specific Data Change Requests (DCRs) and Suspect Matches to the appropriate users. For example, a group can be created for "Pharmacy Data Stewards" so they only see tasks for HCOs with a "Pharmacy" specialty. Without an assigned task group, a user may access the Inbox but will see no tasks to process.

How are Inbox tasks distributed using task groups?

Incoming tasks are routed to the appropriate user groups based on pre-defined rules.
