What is a Record Profile in Veeva Network?

By navigating to and opening the specific record profile in Network.

Record types, statuses, and states

What are record statuses and states?

Indicators of the current lifecycle stage or validation status of a record within Network.

What is the difference between a record's "Status" and its "State"?

Record State (such as VALID, UNDER_REVIEW, or MERGED_INTO) is an internal field (record_state__v) indicating a record's position in the data lifecycle. For example, a MERGED_INTO record is hidden from the UI but maintains a lineage link to the surviving master record.

What are candidate records and how are they used?

Candidate records are temporary entries created when a data load fails to find a match or suspect match for an incoming entity. They allow data stewards to verify quality before "promoting" them to a VALID state. These records remain internal to Network and are not exported to downstream systems until promoted.

Profile features and customization

Can I customize the layout of a profile for different types of users?

Yes. Profile Layout Configuration allows administrators to create custom layouts for specific entity types, such as HCP, HCO, or custom objects. You can add, remove, or reorder sections, fields, sub-objects, and relationship objects to ensure users see only the data relevant to their role or region.

How do "Hashtags" improve the profile and search experience?

Hashtags are dynamic labels that summarize key record attributes (such as #hospital or #nurse). They allow users to quickly identify similar records and refine search results. Administrators can create custom hashtags based on business rules, such as tagging HCPs who are "Key Targets" in a specific market.

What are standard tasks visible within a profile?

Common actions or workflows related to the record that users can perform, such as submitting data change requests.

What is the "Send to Veeva OpenData" feature on a profile?

The Send to Veeva OpenData action allows users to submit locally managed records to be mastered by Veeva. If Veeva data stewards verify and accept the request, the record becomes an OpenData record, ensuring it is maintained by Veeva’s central data team moving forward.

Data validation

What are data validation rules in Network?

Pre-defined rules that ensure the accuracy and completeness of data entered or existing within record profiles.

How do Data Validation Rules work on a profile?

Data Validation Rules enforce quality standards for data entered manually or through a DCR. For example, a rule can ensure a License Expiration Date is later than its Issue Date. If a change violates a rule, the system displays an error message and prevents the record from being saved.
