User access and login history

Where can I see who has logged into Network MDM?

The login history section provides a record of user logins, including timestamps.

What kind of information does the login history show?

Usernames, login times, and potentially the source or method of login.

Is it possible to see why a login attempt failed?

Yes. The Login Audit History records both successful and failed login attempts. It provides the status for each event, helping administrators troubleshoot access issues or identify potential security concerns, such as multiple failed password attempts.

System activity

What specifically is tracked in the System Audit History?

The System Audit History displays system-level configuration changes and technical activity. This includes modifications to system settings, subscription configurations, Data Visibility Profile (DVP) updates, and FTP events, such as file uploads or deletions.

What is the Data Update API Audit History?

This log specifically tracks activities related to the Data Update API. It provides technical details for all jobs executed via the API, allowing administrators to monitor automated data changes and verify that they were processed successfully.

Is there an audit trail for tasks performed in Network MDM?

Yes, the task audit history tracks actions taken on specific tasks or workflows within the system.

Search and Reporting

How is user search history tracked?

The Search Audit History tracks all queries initiated by users. It records the specific terms searched, the number of results returned, any filters applied (such as specialty or location), and the search origin—indicating whether the search was performed in Network Explorer or via an integrated interface like CRM.

Can I see my own search history within Network MDM?

Yes, there's a section to view your past search queries within the Network MDM application.

Can I track the performance of reporting queries?

Yes. The Reporting Audit History records every query performed through Network MDM Reporting. This log includes the query status, the total time taken to execute (duration), and the number of rows returned in the results.

Permissions and retention

Who has access to view these various audit logs?

Access is determined by User Roles. While Administrators generally have access to all logs (System, Login, Task, Reporting, and Search), roles like Data Stewards or Data Managers may have more limited access. Standard users typically only have visibility into their own search history.

Why would I want to review my search history?

To retrace previous searches or identify frequently accessed information.

How long is audit data retained in Network MDM?

There is a defined audit retention policy that specifies how long audit logs are stored.

Where can I find information about the specific audit retention period?

The audit retention documentation outlines the data storage duration.

What happens to audit data after the retention period expires?

Once the defined audit retention period passes, the log data is anonymized. Administrators can configure these retention times on the Log Data Retention page to ensure the system complies with local data privacy regulations while still maintaining general activity records for high-level reporting.
